Finance Automation Portal
A finance team spent every month chasing, correcting and re-sending contractor invoices. Now a portal collects them and sends the reminders itself.

What I delivered
- A simple portal where contractors submit invoices and check their status
- A dashboard where the finance team reviews every contractor’s invoices in one place
- Automatic reminders for missing or incomplete invoices
- One standard process for every invoice, from submission to sign-off
- Training and a written guide for the team
- Maintenance after launch
Where they were
Every month, contractor invoices had to be collected by hand, and nobody owned the process. The finance team kept chasing missing invoices, correcting mistakes and asking for re-sends.
What they needed
One place where invoices arrive complete and correct, and a way to stop chasing people by hand, built on the Microsoft tools the company already used.

Finance Portal dashboard
One door for every invoice
Contractors submit invoices through a simple form and can see the status of everything they’ve sent, so they stop emailing to ask.
One view for the finance team
A dashboard shows every contractor’s invoices and expenses, with filters, so the team reviews in one place instead of digging through inboxes.
Reminders that send themselves
An automation tracks what’s missing or incomplete and reminds the right contractor on a schedule. Chasing stopped being anyone’s job.
Built on what they had
Everything runs on Microsoft 365 (Power Apps, Power Automate, SharePoint), so there was nothing new to buy and the data stays in one place. I trained the team and wrote a short guide.

PowerAutomate automations
Admin cut by 40% straight away.
- Admin time cut by 40% straight away.
- No more chasing: reminders go out on their own.
- One standard process for every invoice, so fewer errors and re-sends.
- It worked well enough to become part of the company’s wider contractor platform.
